Cancellation & Refund Policy
Effective from: 20 October 2025
This page describes when a registration can be cancelled and when a refund is issued. The policy applies to all registrations made through ScenaFlow.
1) Cancellations by the participant
- 14-day rule: if you cancel your participation within 14 days of your registration, 85 % of the paid amount will be refunded.
- After 14 days from registration: no refund is normally granted. Exceptional cases are reviewed individually by the organizer.
- Cancellations are made from your My Events
- Guest purchases: registrations made without logging in (guest checkout) are not eligible for participant self-cancellation unless the purchase is first claimed to a user account.
- Payment method costs: card / payment-method costs and possible payer surcharges (typically ~1-3 %, depending on the method) are not funded and may not be refundable.
- Platform fees:platform / service fees may vary by event. Refunds follow the event’s refund percentage; any non-refundable platform portion depends on the original purchase and payment method.
2) Cancellations by the organizer
- If an event is fully cancelled by the organizer, a 90 % refund is initiated automatically for paid registrations.
- No separate action from the participant is required. If automatic refund processing fails, the case is handled manually by support.
3) Refund method and receipt
- Refunds are processed to the same payment method originally used.
- A receipt link is provided for completed purchases. Receipt visibility in My Events may vary after cancellation; if you need a copy, contact support.
- When a refund is initiated, it is tracked as “Refund pending” and later “Refunded” once completed.
4) Processing times
- Most refunds appear in the customer’s bank within a few business days.
